Whether you’re moving masters between two company files, sending data to your accountant, or pulling reports into Excel for further analysis, Tally Prime’s export and import tools handle most of this without needing a third-party tool. The trick is knowing which format to use for which job.
This guide covers exporting reports and masters, importing data back in, and the mistakes that cause the most “why doesn’t this match” headaches afterward.
What You Need Before You Start
- Tally Prime installed, with the company you’re exporting from or importing into already open
- A clear idea of what you’re moving: masters only (ledgers, stock items), transactions, or just a report for viewing in Excel
- A backup of the destination company before importing anything into it — see our guide on how to backup and restore data in Tally Prime
Step 1: Decide on the Right Export Format
Tally Prime supports a few different export formats, and picking the right one matters:
- XML: Best for moving data between two Tally Prime (or Tally ERP 9) company files, since it preserves the full data structure for re-import
- Excel (XLSX): Best when you want to analyze or share a report outside of Tally, but generally not meant to be re-imported back as transactional data
- PDF: Best for sharing a report or document as a final, non-editable copy
- JSON: Used specifically for GST-related exports like e-Invoicing and e-Way Bill, rather than general data movement
Step 2: Export a Report
- Open the report you want to export (for example, Stock Summary, Day Book, or a GST report)
- Press Alt+E to bring up export options
- Choose your format (XML, Excel, PDF, etc.)
- Select the destination folder and confirm
- Tally Prime generates the file in your chosen location
Step 3: Export Masters (Ledgers, Stock Items, etc.)
- Gateway of Tally, then Display More Reports, or directly to the relevant masters list (for example, Chart of Accounts)
- Select the masters you want to export — this can often be filtered by type (all ledgers, all stock items, or a specific group)
- Press Alt+E and choose XML as the format, since this preserves the structure needed for re-import
- Save the file
Step 4: Export Transactions for Migration
- Open the relevant voucher register or Day Book for the period you want to move
- Press Alt+E and export in XML format
- This is most commonly used when migrating from Tally ERP 9 to TallyPrime, or moving data between two TallyPrime company files — see our guide on TallyPrime vs Tally ERP 9 for the broader migration context
Step 5: Import Data Into Another Company
- Open the destination company in Tally Prime
- Go to Gateway of Tally, then Import Data (the exact path can vary slightly by release — it’s generally under a Data or Utilities-type menu)
- Select XML Files as the import type
- Browse to the exported file and select it
- Choose whether to import as New Masters, Update existing masters, or both, depending on whether the destination already has overlapping data
- Tally Prime processes the import and shows a summary of what was added, updated, or skipped due to conflicts
Step 6: Review the Import Result Carefully
- Check the import summary for any rejected or skipped entries — these usually fail due to a duplicate name, a missing parent group, or a data mismatch
- Open a sample of the imported masters or vouchers and manually verify they match the source
- Run a quick report (like a trial balance or stock summary) and compare totals against the source company before relying on the imported data
Common Mistakes to Avoid
- Importing directly into a live, in-use company without a backup first — always back up the destination before importing anything
- Trying to re-import an Excel export as if it were structured transactional data, when Excel exports are generally meant for viewing/analysis, not round-tripping back into Tally Prime
- Importing masters that reference a parent group, currency, or unit that doesn’t exist yet in the destination company, causing the import to fail or create incomplete records
- Not reviewing the import summary, missing that some entries were silently skipped due to conflicts
- Running imports repeatedly without checking for duplicates first, ending up with the same ledgers or items created more than once under slightly different names
FAQs
Can I export data from Tally Prime directly into another accounting software? Tally Prime’s exports are primarily structured for Tally-to-Tally movement (XML) or general viewing (Excel/PDF). Moving into a different accounting platform usually requires that platform’s specific import tool or a conversion utility, not a direct Tally Prime export.
What’s the safest way to migrate a full company from one Tally Prime installation to another? Rather than exporting/importing individual reports, use Tally Prime’s company-level backup and restore process for a full, exact copy — see our guide on how to backup and restore data in Tally Prime. Export/import is better suited to moving specific masters or transaction sets, not an entire company.
Why did some of my imported ledgers get skipped? Usually because a ledger with the same name already exists in the destination, or because a required parent group or currency referenced in the import doesn’t exist there yet.
Can I import data from an Excel sheet I created myself, not exported from Tally? Tally Prime supports importing from properly formatted Excel templates for certain master types, but the structure needs to match what Tally Prime expects — it’s not a free-form import of any spreadsheet.
Is it safe to import data into a company that already has months of transactions? It’s possible, but riskier than importing into a fresh or test company first. Always back up beforehand and verify a sample of the imported data before trusting it in your live books.
