A default Tally Prime invoice is functional but generic. Adding your logo, choosing the right fields to display, and adjusting the layout for your specific paper size makes a real difference to how professional your invoices look to customers — and it only needs to be set up once to apply to every invoice going forward.
This guide covers the main customization options available through Tally Prime’s print configuration.
What You Need Before You Start
- Tally Prime installed, with your company and GST details already set up — see our guide on how to create a GST invoice in Tally Prime
- A logo image file (commonly PNG or JPEG) ready to upload, if you want to include branding
Step 1: Add Your Company Logo
- Gateway of Tally, then F11 (Features), then F2 or the relevant Printing-related feature section, depending on your release
- Look for an option to upload or set a company logo for printing
- Browse to your logo file and select it
- Save the setting
Step 2: Open the Print Configuration Screen
- Open any saved sales invoice
- Press Alt+P to bring up the print screen
- Press F12 to open the detailed Print Configuration options for this voucher type
Step 3: Choose What Fields Appear on the Invoice
Within the print configuration, you can typically toggle on or off:
- Company logo and address details
- Buyer’s GSTIN and address
- HSN/SAC code column
- Item-wise discount, if applicable
- Bank details for payment (account number, IFSC, QR code for payment apps, if supported)
- Terms and conditions or a notes section
- Signature space, with or without a designated authorized signatory line
Turn on what’s relevant to your business and turn off anything cluttering the invoice unnecessarily — a service business might not need an HSN column at all if everything is SAC-coded under one rate, for example, though if you do sell mixed goods and services, keep both visible.
Step 4: Choose the Print Format
- Within the configuration, select your preferred paper size — A4 is standard for most office printing, while a smaller format suits POS-style receipt printers for retail counters — see our guide on how to set up POS invoicing in Tally Prime if that’s your use case
- Choose between a Simple format (compact, fewer details) and a Detailed format, if your release offers a choice, depending on how much information you want visible at a glance versus needing to drill into the saved voucher for more
Step 5: Adjust Column Widths and Item Description Detail
- If item names are getting cut off or wrapping awkwardly, check the column width settings within print configuration
- Decide whether to show just the item name or a fuller description field, useful if your products need more context than a short name alone provides
Step 6: Save Your Configuration as Default
- Once you’ve adjusted the settings to your liking, look for an option to save this as your default print configuration for that voucher type
- This way, you don’t need to reconfigure these settings every single time you print — new invoices use your saved preferences automatically
Step 7: Test Print a Sample Invoice
- Print (or save as PDF) a real invoice using your new configuration
- Review it carefully for alignment issues, cut-off text, or missing fields you expected to see
- Adjust and re-test before relying on this configuration for actual customer-facing invoices
Adding a UPI/Payment QR Code
If you want to make it easy for customers to pay digitally straight from the invoice:
- Check whether your Tally Prime release supports embedding a UPI QR code directly within the print configuration
- If supported, enter your UPI ID or link your payment details so the QR code generates automatically on each invoice
- If not natively supported in your release, you may need a connected service or a manually pasted QR code image as a workaround, depending on your specific needs
Common Mistakes to Avoid
- Cluttering the invoice with every available field switched on, making it harder for the customer to find the actual total and payment details
- Not testing the print configuration with a real invoice before sending the first one to a customer, only to discover an alignment or cut-off issue afterward
- Using a low-resolution logo image, which prints blurry or pixelated even though it looks fine on screen
- Forgetting to save the configuration as default, leading to repeated manual reconfiguration every time someone prints
- Choosing the wrong paper size for your actual printer/use case, leading to wasted paper or awkward, oversized printouts for what should be a compact receipt
FAQs
Can I have different print configurations for different voucher types? Yes, print configuration is generally set per voucher type, so you can have a detailed configuration for standard sales invoices and a compact one for POS-style receipts, for example.
Does customizing the print template affect what’s actually recorded in my books? No, print configuration only affects how the invoice is displayed and printed. The underlying recorded transaction data in your books is unaffected by these display choices.
Can I include a digital signature image instead of leaving space for a physical signature? This depends on your release’s specific options, but many setups allow inserting an image (such as a scanned or digital signature) into the print layout, similar to how a logo is added.
Why does my invoice look different when printed compared to the preview on screen? This is often related to printer driver settings or paper size mismatches between what Tally Prime expects and what your printer is configured for. Double check your printer’s paper size setting matches what you’ve selected in Tally Prime’s print configuration.
Can I create completely custom invoice designs beyond what the standard configuration options allow? Highly customized layouts beyond the standard configuration options sometimes require a TDL (Tally Definition Language) customization, which is a more advanced, developer-level change — consult an authorized Tally partner if your branding needs go beyond what the built-in configuration supports.
